Upload & organise assets
Add files to the correct brand, select categories and manage review status.
Reviewed 16 October 2026. Available controls depend on your role, plan and service configuration.
Add a file
Open the correct brand and chapter, choose Add files and select a file. From the Asset library, choose the appropriate category; within a chapter the category may already be fixed. Select the available file type/subcategory and submit. Wait for the success message before navigating away. Follow the recommended formats shown in the section and the complete Supported file formats guide.
Names, types and size checks
Choose a descriptive filename before uploading, such as Brand-Wordmark-Dark.png. Filenames may be up to 160 characters and must not contain unsafe control characters. Files must be non-empty and no larger than 25 MB. Content must match the extension; JSON must parse correctly and supported text files must be valid UTF-8. ZIP archives are blocked.
Organise files after upload
Use Organise on an asset card to change its category and available type, then Save category. Types vary by chapter, so choose the closest available option. Owners/managers can organise published files. Editors can organise their own unpublished contributions where permitted. There is no general filename-rename control; prepare names before upload.
Pending and rejected files
Editor uploads are pending until an authorised owner or manager approves them. Viewers and public visitors do not see pending or rejected uploads. The author and managing users can see relevant unpublished assets. Use the pending asset card’s Approve or Reject action when available. If rejected, ask what must change, remove the unsuitable contribution if permitted and upload a corrected file.
Replace files safely
Upload the corrected file, obtain approval, update any logo, cover or chapter references, and confirm that viewers can use it before deleting the previous file. Uploading the same name is not a version-history or replace-in-place feature. Keep local originals and licence records. An unsupported or suspicious file must be re-exported correctly, not renamed to bypass validation.
